Overview:

This role offers a diverse range of responsibilities covering the establishment of new companies, trusts, ongoing administration and supporting management of a growing portfolio of clients. You will work closely with senior staff, stakeholders and customers, making excellent communication skills essential. Key aspects:

  1. Provide an accurate and efficient service to clients of Eximia, using available specialist resources, referring to other departments for advice/guidance, as appropriate;
  2. Act as Director of your team Corporate Director;
  3. Act as Authorised Signatory on bank accounts;
  4. Act as Individual Director on client companies (alongside a Senior colleague);
  5. Deal effectively and efficiently with all internal administration matters, complying with all relevant external regulations and internal Company policies and procedures;
  6. Manage and monitor the administration of companies and Trusts for clients within team portfolio;
  7. Liaise with clients regarding day to day administration queries, in order to fully understand the purpose of all bank transfers (ensuring receipt of full back up documentation), receive client instructions and ensure adherence to internal policy and external regulation by staff, arrange signature/minuting of documentation, liaise with other departments/offices/jurisdictions;
  8. Meet/visit clients, as required/necessary, to understand their needs, make them aware of our service/product offering, increase companies under management through new sales and educate them as to our requirements, before reporting back promptly in required format;
  9. Advise/communicate with clients preferably verbally but also in writing on matters relating to their companies;
  10. Arrange incorporation of new companies for clients/monitor and arrange transfers in and out/terminations;
  11. Compile relevant compliance information from clients for internal compliance department and corporate governance purposes with regards to start up as well as with regards to ongoing power delegation and transaction monitoring with the aim of achieving compliance targets set;
  12. Prepare and understand contracts/agreements for clients, referring to specialists where necessary;
  13. Understand high level structuring and tax commentary;
  14. Responsible to review and manage work item balances/disbursements on client company files to result in maximum acceptable billing and ensure any fixed fees are set up and monitored regularly to ensure they remain profitable to Eximia;
  15. Be fully aware at all times of the outstanding debt within portfolio and be able to provide detailed updates at regular debt meetings as to when debts will be paid, prioritising collection of old debt;
  16. Responsible for ensuring correct work items are input by your team.
  17. Monitor work of staff under direct/and possible indirect management maintaining optimum staffing levels to ensure top client service, maximum profitability and strong corporate governance;
  18. Assist with recruiting new staff as appropriate and deal with poor/good performance swiftly and appropriately with recourse to line management and the Human Resources Department. Guide, coach and train staff under management to ensure their maximum efficiency/profitability and to encourage development of their own individual career paths;
  19. Delegate work to staff under management, wherever possible and as appropriate;
  20. Set objectives/goals as appropriate to staffs’ capabilities and in accordance with department goals. Complete staff appraisals within set timescales and discuss same with staff;
  21. Maintain a clean, tidy and organised team work area;
  22. Attend internal, external training sessions and meetings as set by the company;
  23. Meet CPD requirements as set internally;
  24. Any other ad hoc duties as they arise.
